Athlete Cancellations

• A full refund, minus a $25 administration fee, will be issued for cancellations made before the program/camp week begins.
• After the program/camp week has started, a $50 administration fee will apply, and the refund will be prorated based on the number of days that have already passed.
• Note: If payment was made via credit card, the credit card fees are non-refundable.
  
  

Program Cancellations

• If the Club cancels a session, every effort will be made to offer a make-up session for affected athletes. If a make-up session is not possible, a credit will be issued for future use at any Leaside Volleyball Club program.
• Credits or refunds will not be issued if an athlete chooses not to attend on a particular day.  Similarly, credits or refunds will not be provided if an athlete leaves a session that continues later that same day.

Weather Policy

Weather Policy
As an outdoor training program, our schedule is subject to weather conditions. Programs and camps will proceed in hot, cold, and rainy weather, with the coaching staff adjusting the format as needed. Cancellations typically only occur in the event of persistent heavy rain and/or thunderstorms.

Weather Delays and Cancellations
In the event of adverse weather, the following procedures will apply:

1. Morning Delays:
   • If a delay occurs in the morning, families will receive an email by 8:00 AM with an updated start time. If no email is sent, the program will continue as scheduled.
   • For parents who drop off their athlete(s) at the regular time (9:00 AM), a Beach Coordinator will be on-site under shelter to supervise athletes until it is safe to proceed to the courts.
2. During Camp:
   • If the rain is light, the program will continue as planned.
   • In the case of heavy rain or thunderstorms, athletes will be directed to take shelter until conditions improve. Play will resume 20 minutes after the last sound of thunder.
   • If adverse weather persists, families will be notified via email that the camp is canceled for the day, and early pick-up will be requested for athlete(s). Coaches will remain on-site with the athletes in a protected area until parents arrive for pick-up.

Payment

​Payment is due two weeks prior to the first day of the program/camp week.  

Payment for all of Leaside's Beach Programs can be made by credit card at the time of registration, or by e-transfer to [email protected].

In the event that an athlete is unable to attend a session(s), regrettably, we are unable to offer refunds or makeup class(es).

Up to and including, the second second session in a program, withdrawals from the program will be subject to a $25 administration fee plus $50 for each session that has occurred at the time of withdrawal.

​Please note that if payment was made by credit card, the fees charged by the credit card company are non-refundable.

There will be no refunds after the second session has occurred.

If a permit is cancelled (e.g any reason beyond our control), the Club will first endeavour to provide a make-up session for all athletes impacted.  If a make-up session is not possible, the Club will provide affected participants with a credit voucher for future use at any Leaside Volleyball Club program.

Inclement Weather

Unfortunately, with beach being an outdoor sport we are unfortunately at the mercy of the weather.  Generally speaking, we will train rain or shine.  The only time that we would cancel a session would be for persistent heavy rain and/or thunderstorms. 

Once the program is off and running, if the rain is not too hard, we will continue to play through it.  However, if the rain worsens and/or thunderstorms present, we will clear the beach and take shelter until it blows over.  We will wait at least 20 minutes following the last sound of thunder.  If heavy rains and/or thunderstorms persist, we will notify parents by email to pick their athlete(s) up early. 

Should a session be cancelled completely due to heavy rain and/or thunderstorms, the Club will endeavour to provide a make-up session, pending availability of permits.
